Access to Work has changed some of the aspects of the claims process without notifying it's users.
Access to Work is now more closely scrutinizing your claim and accompanying evidence before they will release a payment. As a result, it is vital that you are aware of the processes you need to follow to be successful in your claim.Â
Requirements for the claim process:
Important things to note:
- You can only claim for support that has been provided in the nine months prior to your claim date. Access to Work will not process claims before the nine-month cut-off, even if you have been waiting for a renewal or reconsideration decision.
- When submitting a claim through the OneGov portal, you will be asked if you would like to add another month to your claim. It is in your best interest not to add another month. Access to Work has told us that this slows down the process, and it is quicker to make a new claim for each month, even if it is the same service provider.
- You need to make sure your claim exactly matches the award you have been given, or else they will return it. We recognise this can be a complex process, so we have created an invoice template to help you.
What you need to make a claim :
To claim money from your grant, you’ll need to provide:Â
- The dates you had support.Â
- Invoices or receipts showing the cost of your support.Â
- Bank details for the person or company who will receive the money from the grant.Â
We have contacted Access to Work to clarify this process and found that you must provide:Â
Support Worker ClaimsÂ
- Support Worker’s full nameÂ
- Unique Tax Reference (UTR) numberÂ
- Address, phone number, and email addressÂ
- A full breakdown of the support provided, including:Â

- Dates of supportÂ

- Hours workedÂ

- Amount claimed per sessionÂ

- Description of the support providedÂ

- Total amount claimedÂ
Travel claimsÂ
- Invoices must show:Â

- Name & Address of the Taxi CompanyÂ

- The date & Time the Journey was taken.Â

- The full Pick-Up Address including PostcodesÂ

- The full Drop-Off Address including PostcodesÂ

- The overall cost of the JourneyÂ

- Driver’s Signature or details if an Uber, Bolt, or similar.Â
- We have been told a taxi receipt is acceptable if it is a photograph of a minicab card or London Taxi card, but it must be a clear scan or photograph with the following details:Â

- Date and time (if possible)Â

- The drop-off postcodeÂ

- The cost of the journeyÂ

- Driver’s signature, name, and company logo.

- We have also created a basic Access to Work Claim amount calculator. You can download this below. If you have been allocated funds at the rate of minimum wage in your Access to Work grant, you can input the number of hours of support you have received, the total cost of that support, and the amount that will be paid to the support worker.
- The spreadsheet will then calculate the amount you can claim via your grant and the amount you or your employer would need to cover.
